Understanding Technical Writing

Process of Writing a Technical Manual

Writing a technical manual goes more smoothly when it follows a clear process: plan, gather information, draft, test and review, then revise and maintain.

Questions you may have include:

  • What are the steps?
  • How do you gather accurate information?
  • How do you make sure it works?

Plan

Begin by identifying the audience, the scope, and the structure. Knowing who will read the manual and what they need to do shapes every later decision.

Gather information

Collect accurate details from the people who know the product — subject-matter experts — and, wherever possible, from using the product yourself. First-hand experience reveals steps that experts may take for granted.

Draft

Write the content in a logical, step-by-step order, using clear language and helpful visuals. Organize it so readers can find what they need quickly.

Test, review, and maintain

Test the instructions by actually following them, and have experts review for accuracy. Then revise based on what you find — and keep the manual updated as the product changes, since an out-of-date manual can mislead users.

Summary

A technical manual is best written as a process: plan the audience, scope, and structure; gather accurate information from experts and hands-on use; draft it clearly and step by step; and test, review, revise, and maintain it so it stays correct over time.
